What general rules for sick and personal leave should I be aware of?

  • Employees should obtain approval from their supervisor prior to use of personal leave
  • Sick leave cannot be used in the same period that it is earned
  • Any balance of personal leave left at the end of the school year will be lost
  • Sick balances will carry over into the next fiscal year with no limit

How do I report sick and personal leave?

Exempt employees are compensated not for the amount of time spent on the job, but rather for the services provided. To protect the exempt status of employees, sick and personal leave usage should not be reported for a period of less than 4 hours (½ day). Below are examples for reporting sick or personal leave usage for faculty employees:

1 sick or personal day = 8 hours

½ sick or personal day = 4 hours

How will I earn sick and personal leave?

Sick leave is earned every biweekly pay period. The accrual rate is 3.8 hours per pay period for a total of 72.2 hours per year.

Personal leave is allocated at the beginning of each school year. A total of 16 hours are given each year.

  • Employees should obtain approval from their supervisor prior to use of vacation leave
  • Leave cannot be used in the same period that it is earned
  • The amount of leave used cannot exceed the current balance available
  • Leave cannot be used if it will result in pay in excess of the employee’s normally scheduled work week
  • Any vacation balance over 240 hours (30 days) as of the last pay period in June will be lost
  • Sick balances will carry over into the next fiscal year with no limit

How do I report sick and vacation?

Leave usage should be requested and reported in hours. Since non-exempt employees track time by the hour, sick and vacation leave should be reported for the actual amount of time absent. For example, if you leave work 3.5 hours early you would report 3.5 hours of sick or vacation.

How do I earn sick and vacation?

Sick and vacation leaves are earned every biweekly pay period based on the actual hours worked during the pay period. Below are the accrual rates for every hour worked:

How do I earn sick and vacation?

Exempt employees earn a fixed amount of 3.7 hours of sick every biweekly pay period. Below are the accrual rates for vacation for each biweekly pay period:
